Buy a Shopify App Store app when your need is common and the app's way of working fits your process. Build a custom Shopify app when the logic is specific to your business, the app would hold data or rules you cannot afford to lose control of, or you are stacking several apps and staff time to approximate one workflow. Most growing brands use both: off-the-shelf apps for standard needs and a small number of custom apps for the operations that make them different.

This guide helps operations and ecommerce leaders decide which side of that line a specific need sits on.

Signs the App Store has stopped fitting

  • Apps that overlap. Two or three apps each handle part of a workflow, and staff move data between them.
  • Workarounds as process. A spreadsheet, a tag convention, or a daily manual step exists only to make an app behave.
  • Data you cannot reach. Important records live inside an app with limited exports or APIs.
  • Rules that do not fit. Your pricing, bundling, fulfillment, or eligibility rules need conditions the app's settings cannot express.
  • Performance and conflicts. Several apps inject scripts into the storefront, and pages slow down or behave unpredictably.
  • Subscription creep. Usage-based app fees grow faster than the value they add.

One of these is normal. Several together usually mean a part of your operation has outgrown generic tools.

What a custom Shopify app can do

A custom app is software built for one store or organization, using Shopify's APIs and extension points. Common uses:

  • Syncing products, orders, and inventory with ERPs, warehouses, suppliers, or other stores.
  • Internal tools for staff: vendor portals, approval workflows, returns grading, order exception queues.
  • Checkout and cart logic through Shopify Functions, which cover discounts, delivery and payment customization, cart and checkout validation, fulfillment constraints, cart transforms, and order routing location rules.
  • Data and reporting that combines Shopify with other systems.

One plan detail matters here. Shopify's documentation states that only stores on Shopify Plus can use custom apps that contain Shopify Function APIs. Public App Store apps with functions work on all plans. If your need depends on checkout logic, check your plan before scoping a custom build.

Count staff time honestly. An app that costs little per month but requires an hour of manual work every day is not cheap.

  • A clear scope. One workflow, defined with the people who do it every day.
  • Reliable data handling. Shopify's webhook guidance notes that deliveries can be duplicated, missed, or arrive out of order. A custom app should deduplicate events and reconcile data on a schedule.
  • API version upkeep. Shopify releases API versions regularly and retires old ones, so a custom app needs periodic updates.
  • Monitoring. Failures alert a person instead of waiting for a customer complaint.
  • Ownership. Code, hosting, and credentials under your accounts.

  • Rebuilding a standard app. Reviews, email marketing, and loyalty programs are usually better bought.
  • Building without the people who use it. Operations staff know the edge cases. Include them from the start.
  • Assuming one build is the end. Custom apps need an owner for updates and changes.
  • Replacing everything at once. Start with the workflow that costs the most staff time or causes the most errors.

Do we need Shopify Plus for a custom app?

Not for most custom apps, such as integrations and internal tools. Shopify Plus is required for custom apps that use Shopify Functions, according to Shopify's documentation.

How long does a custom Shopify app take?

It depends on the number of systems involved and how many edge cases the workflow has. A focused internal tool is much smaller than a multi-store sync with supplier feeds. Scope one workflow first and estimate from there.
